The brief

Berkia & Whitney, a construction health and safety business based in Doncaster, came to GWBrix for help improving their email, file storage and business data setup.

The company had grown quickly from a small team into a much larger business, but the original technology setup had not grown with them. Email was still running through a basic Fasthosts setup, while company files were being managed through Dropbox.

This worked in the early days, but as the business expanded it became harder to manage securely. Access permissions were unclear, staff needed different levels of access, and managing company and client data across multiple users became increasingly difficult.

Berkia & Whitney needed a more secure, centralised and scalable solution. They wanted company data to be easier to manage, easier to access and better protected, with clear permissions and a reliable structure for new and existing client work.

The business also used a mix of Windows and Mac devices, which meant the solution needed to work smoothly across different platforms. With issues such as Teams not working correctly across multiple clients, users having incorrect access and data spread across different systems, the existing setup was becoming difficult to control.

GWBrix was brought in to design a practical, cost-effective solution and provide hands-on support throughout the process.

What we did

GWBrix designed and implemented a Microsoft 365 and SharePoint solution to centralise company email, files and client data.

All 28 user mailboxes were migrated to Microsoft 365, with careful planning to keep disruption to a minimum during the transition. Users were supported throughout the setup process so they could move across smoothly and continue working with as little interruption as possible.

SharePoint was configured to provide a central, secure location for company and client data. This included designing a structured SharePoint environment with appropriate permissions, templates and areas for staff to access important company information.

To make ongoing management easier, GWBrix also built a custom Power Automate and Power Apps solution. This allowed Neil at Berkia & Whitney to create new SharePoint sites when required, using a more controlled and repeatable process.

This removed much of the manual work involved in setting up new client/project areas and helped make the process faster, more consistent and easier to manage.

GWBrix also provided ad-hoc IT support throughout the project, helping with access issues, Teams problems, user setup and support across both Windows and Mac devices.

Project Highlight

A key part of this project was not just moving email and files into Microsoft 365, but creating a better long-term structure for the business.

By combining SharePoint, Microsoft 365, Power Automate and Power Apps, GWBrix helped Berkia & Whitney move away from a setup that had become difficult to manage and towards a more secure, scalable and organised way of working.

The Outcome

Berkia & Whitney now has a more secure and centralised Microsoft 365 environment, with email, company data and client information managed in a clearer and more controlled way.

The move from Fasthosts email and Dropbox to Microsoft 365 and SharePoint has improved access management, reduced confusion around permissions and created a better foundation for the company as it continues to grow.

The custom Power Automate and Power Apps solution also gives the business a faster and more consistent way to create new SharePoint sites for client or project work.

GWBrix and Berkia & Whitney continue to work together on further improvements, including a new modern website and additional SharePoint enhancements designed to improve day-to-day workflows even further.

With ongoing ad-hoc support from GWBrix, Berkia & Whitney now has a trusted point of contact for Microsoft 365, SharePoint, user support and future technology projects.
